Minutes of Yampa Valley Youth Baseball Association Board Meeting
Wednesday, February 11, 2015

Call to Order: A board meeting of the Yampa Valley Youth Baseball Association was held at Carl’s Restaurant in Steamboat Springs, CO on February 11, 2015. The meeting convened at 6:00 pm, President Jim Hansen presiding, and Leigh Reece, admin.

Members in attendance: Jim Hansen, Jarett Duty, Kelly Colfer, David Gedeon, Todd Savalox, George Ibarra, Chris Adams, David Reece and Leigh Reece

Members not in attendance: Gary Engle and Chris Adams.
Approval of minutes: Minutes from December 18, 2014 meeting will be approved at the next meeting.

Old Business: None
Board and committee reports:

Legion: David Reece
Able to field a much bigger team – 17 came out this year – 3 seniors, 1 junior, 3 soph., the rest are freshmen. There is an excellent future for the program.
Varsity schedule is filled – including an early March tournament in Houston. There are a lot of freshmen going – good experience.
JV Games – trying to get as many as possible and tournaments (perhaps outside of the school). Battling with the AD at the high school to get a good schedule.

Financials: Jim Hansen
2014 Reports distributed – report will go to the accountant for 2014.
Mountain Magic Tournaments are paid for 2015 - $3900.00
Remaining Balance: $2,176.90
Still trying to get the Little League account from Wells Fargo from Phil P. (should be $2,000 – 3,000.00 in the account)

Fundraising: Jim Hansen
Strategy: We need someone to head up this area

City Letter of Understanding – T-Ball & Coach Pitch: Jim Hansen
Provided by David Stevenson
Stipulates about not raising fees – they want to keep us from increasing more than $5 = $80 per person.

Jarett Duty makes a motion to approve budget for 2014 and turn into accountant for taxes 2nd – Chris Adams. Motion passed.

Jarrett Duty: YVYBA is providing uniforms, pitching machines, generator, new money in to the fields – we need to go back and reiterate we are building a better program in baseball.
David Gedeon: We are a non-profit.
Jim Hansen: Get rid of that bullet point in the agreement before signing
Meeting this week with Jarrett, Jim and David G. Work it out with the city and sign the papers. T-Ball needs to be low as an entry level - $80 – and Machine Pitch at $95 Taking over as of March 1st.
Todd Savalox: Suggested ways to run practice where we are not using as much space or coaches – running kids through stations + utilizing batting cages. Then you can use only 2 fieldsJim Hansen: Need a T-Ball representative - Jarrett Duty: Talking Scott Sulencich tomorrow about serving in that position.

Eliminating U10 rec – they are going to Machine Pitch. To keep the game moving. Chris Adams: Need to build pitching into practice or the U10s will not be prepared in pitching.
Jarrett Duty: run a pitching clinic at the practices.

Select Baseball: David Reece
Distributed a spreadsheet with kids submitted for Select. 2nd spreadsheet with tournaments – coaches can review to see where the teams can go for tournaments
Tryouts: Split by age (11 & 12)
Gym first – throw, catch, grounders – fielding Hitting Facility – Day 2
Sunday, March 1st – Gym

Select Uniforms – Players Fees
David Gedeon – talked to Todd Tracy – he bought a ton of uniforms for U12
Should we repurpose uniforms from past year for U13 – since they are only playing 2 games?

Player fees:
League and select = $300.00 total
If you are in select, you are required to be in league

Select Fee: $175.00 (includes 2 tournaments & uniforms) (Tax Deductable) League Play: $175.00
Tournament Fees: $50 per tournament per kid (above 2 tournaments) Uniforms Include: Jersey, Hat, Practice Jersey

Softball: Georg Ibarra
7 Tournaments scheduled – put on Georg’s credit card. He will collect from players & turn into Jim. Raised $2,000.00 for the teams.
Softball Fees: $300.00 (40+ game season)
Insurance & Fees
Registration for League and Select – Leigh put flyer and mass email out.

Equipment: Kelly Colfer
Needs: L Screens Shelves for Storage Facility

College Team – Dave Roy Proposal
Jim – College kids will come in June and half of July – they will help coach the younger kids. Players are from hot places – here to play baseball
Needs: Housing for college kids and coaches – we need to help with this need because they will around out kids.
They will play on the high school fields on the weekends.
Board is unanimous that this is good for YVYBA baseball.

Umpires: Gary Engle
May 16th & 17th– promote among the kids

Call to Order:  A board meeting of the Yampa Valley Youth Baseball Association was held at Cantina Restaurant in Steamboat Springs, CO on March 4, 2015.  The meeting convened at 6:14 pm, President Jim Hansen presiding, and Leigh Reece, admin.

 Members in attendance:  Jim Hansen, Jarett Duty, Kelly Colfer, David Gedeon, , George Ibarra, David Reece and Leigh Reece

 Members not in attendance: Gary Engle and Chris Adams, Todd Savalox, and Chris Adams

 Approval of minutes:  George Ibarra moves to approve the 12/18/15 and 2/11/15 minutes.  2nd:  David Reece.  Motion Passed

Steamboat Springs College Team:  Jim Hansen

We are hosting a college team this year – a six team league with D1 & D2 players.  4 Local players + players from Arizona.  Coach is the head coach out of Minnesota. 

Mass email – homes for the players to stay from June 5 – July 15.  Include new emails from the city list we acquired.

Coach Applications are ready – email to be sent one
Sponsors needed – banner, etc. 

Registration Fees:
T Ball                          $90
Machine Pitch             $90
Majors/Minors            $175
Select                           $175 includes 2 tournaments + uniform (jersey/hat/practice jersey)
April 15th Early Bird Registration for Majors & Minors.

Ages:
Ages 5-6                     T-Ball
Ages 7-8                     Machine Pitch
Ages 9/10                    Minors (Machine Pitch – Select will be kid pitch) (skill appropriate 8 year olds)
Ages 11/12                  Majors – Kid pitch
Ages 13                       Split the 13s to play up or down depending on skill – they should sign up for Majors.  They may be asked to play up. U14                             David Reece is talking to the Craig coach about pulling a team together with some 13s that need to move up.  Mention on
email.
Future:  Possibly enough kids to form 3 teams of 13/14.

Softball:  George Ibarra
Jim Hansen complimented George on such a fantastic job with softball.
First tournament cancelled due to weather.  George handed out a spreadsheet of expenses and donations.  Created a banner with all sponsors.  Central Signs (Mike Sullivan) – he will drop the price if we do all banners through him.  Waiting for that pricing.
Each select coach needs to submit a budget like George’s –

Jerseys:  David Gedeon and Jim Hansen
NW Colorado Storm jerseys need to be ordered for all Select Travel teams.
Blue Jersey – hats – practice jerseys

Select:  David Reece
Tryouts – Dates  - Sunday, March 22 – possibly at high school

Hitting Facility:  David Gedeon
Jarett and David G. pay check to YVYBA - Sub lease to YBYBA.  Then YVYBA can take over the liability and they can take a tax benefit.  They will present a proposal to YVYBA.

Coaches:
Concussion Training – required by CABA.  Jim needs to look into it for all teams.

City:  Jim Hansen
Todd Tracy will pay for batting cages.  Working with the city on the specifics.  Much of the dirt has disappeared.

Each coach should find their sponsors @ $500.00 per sponsor
